I am Sarah-Jane Page, an independent writing consultant and private tutor.
This privacy policy explains what personal information I collect, why I collect it, how I use it, and how I look after it.
What information I collect
I may collect personal information when you contact me, enquire about my services or work with me.
This may include:
your name and email address;
your telephone number, if you provide it;
information you include in an enquiry or contact form;
correspondence between us;
information needed to provide fiction consultancy or tuition services; and
information relating to payments and transactions.
For tuition, I may also hold information about a student that is relevant to their tuition, such as their name, age or year group, subjects or qualifications being studied, learning goals and information about their progress.
I aim to collect only the information I reasonably need to respond to your enquiry or provide the service you have requested.
How I collect your information
Most of the personal information I hold is provided directly by you when you:
complete a form on my website;
contact me by email or telephone;
speak to me by Zoom;
arrange or pay for a service; or
work with me as a client or student.
Where I provide tuition to a child or young person, some information may be provided by their parent or guardian and some may be provided by the student themselves.
How I use your information
I use personal information to:
respond to enquiries;
arrange introductory conversations;
provide fiction consultancy and tuition services;
communicate with clients, parents and students;
arrange appointments and lessons;
process and keep records of payments;
maintain appropriate business and financial records; and
comply with legal or regulatory obligations.
I do not sell your personal information or use it for third-party marketing.
My lawful basis for using your information
Under UK data protection law, I need a lawful basis for collecting and using personal information.
Depending on the circumstances, I process your information because it is necessary:
to take steps at your request before entering into a contract or to fulfil a contract with you;
to comply with a legal obligation; or
for my legitimate interests in responding to enquiries, communicating with clients and running and protecting my business, where those interests do not override your rights and interests.
Children and young people
Some of my tuition services are provided to children and young people.
A parent or guardian will normally make the initial enquiry and provide the information needed to arrange tuition. During tuition, I may also receive information directly from the student.
I only collect and use information about a young person where it is reasonably necessary to provide and administer their tuition, support their learning or communicate appropriately with them and their parent or guardian.
I take particular care with information relating to children and young people and aim to collect only what I need.
The ICO specifically requires privacy information concerning children to be clear and understandable to them, so keeping this section straightforward is important.
Who I share your information with
I do not sell personal information or share it for marketing purposes.
I use third-party services where necessary to operate my website and business. These include:
Squarespace, which hosts my website and contact forms;
my email service, for correspondence;
Zoom, where online conversations or tuition take place; and
my bank, where payments are made by bank transfer.
These organisations may process personal information where necessary to provide their services.
I may also disclose personal information if I am legally required to do so or where this is necessary to protect someone from harm.
Some service providers may process information outside the UK. Where this happens, the provider is responsible for having appropriate arrangements in place for the transfer and protection of personal information.
How I store and protect your information
I primarily store client and student information electronically on password-protected devices and take reasonable steps to protect it against loss, misuse, unauthorised access or disclosure.
I do not keep personal information for longer than I reasonably need it.
How long I keep your information
If you make an enquiry but do not go on to work with me, I will normally delete the personal information associated with your enquiry within 12 months.
Where you become a client, I may retain relevant records for longer where necessary to provide my services, maintain appropriate business records, deal with queries or disputes, or meet legal, tax, accounting or safeguarding requirements.
I regularly consider whether information I hold is still needed and securely delete information when there is no longer a reason to retain it.
There isn’t one statutory retention period for every type of personal data; the ICO’s position is that organisations should determine and justify how long particular information is actually needed.
Your rights
Depending on the circumstances, UK data protection law gives you rights over your personal information. These can include the right to:
ask for a copy of the personal information I hold about you;
ask me to correct information that is inaccurate or incomplete;
ask me to delete your personal information in certain circumstances;
ask me to restrict how I use your information;
object to certain uses of your information; and
ask for your information to be transferred in certain circumstances.
